Berea Refrigeration & Restaurant Equipment Repair LLC ("Berea Refrigeration," "we," "us," or "our") operates BereaHVAC.com and provides heating, air conditioning, refrigeration, and restaurant-equipment services. This policy explains how we handle information provided through our website and service communications.
Information we collect
We collect information you provide when contacting us, requesting service, asking for an estimate, or communicating about a job. This may include your name, email address, telephone number, service address, equipment information, the details of your request, completed specification sheets and equipment photographs you choose to upload. If you previously gave text-message consent, we may retain that consent and any related opt-out records. New website text enrollment is currently paused.
Our website and its service providers may collect technical information such as browser and device information, pages visited, and cookies needed to operate the website.
How we use information
We use information to respond to inquiries, arrange and deliver service, coordinate appointments and technician arrivals, prepare estimates and invoices, maintain service records, process customer requests, and protect our business and website.
Website requests and attachments are stored for our team to review. The website attempts to send request details and links to protected attachments to our office through Resend, our email delivery provider. An email delivery failure does not delete the saved request. Our business records may be retained as described below. Payment-card and bank information is collected by the payment provider on its secure page; do not include it in our request forms.
AI website assistant
If you use Ask Berea, your questions and recent conversation messages are sent to OpenAI to generate an AI reply. The website keeps the conversation in the open page and does not save it as a service request. We request that API responses are not stored as reusable conversations; OpenAI may retain data for its own security and abuse-prevention processes. Please use the separate service-request form for your name, contact details and service location, and do not enter payment information or other sensitive details in the chat. The assistant cannot book appointments, confirm prices or submit requests. Our office confirms those details.
Phone, email and text-message choices
We follow up on website requests by phone or email. Submitting a request provides your details so we can respond to that inquiry; it does not enroll you in advertising or text messages. Please call or email instead of texting our office number.
New website text enrollment is paused. We retain existing consent and opt-out records as needed to document earlier choices. Contact us by phone or email to withdraw an earlier text-message consent or ask about it. If you receive an existing service-program text, you may also reply STOP to that sending number.
Sharing information
We share information with service providers only as needed to operate our website, manage service requests and customer records, deliver communications, and support billing. These may include website hosting and storage providers, Resend, payment processors, delivery providers and messaging providers that process information on our behalf. We may also disclose information when required by law or necessary to protect legal rights and security.
We do not sell or share mobile numbers, SMS opt-in data, or consent with third parties or affiliates for their marketing or promotional purposes. SMS consent is specific to Berea Refrigeration and is not transferred to another business. Messaging service providers may process this information solely to deliver and administer our messages on our behalf.
Retention and protection
We retain information as needed to provide services, maintain business records, document consent and opt-out choices, and meet applicable obligations. We use reasonable safeguards to protect it, but no electronic system is completely secure. Please do not send payment-card details, passwords, or other sensitive information through website messages or text messages.

Contact us at the email, telephone or postal address below to request access to, correction of or deletion of your personal information, or to ask about our practices. If you believe we denied a request incorrectly, ask us to review that decision. We handle requests and any applicable appeal rights under the laws that apply to your information. We may need to verify your identity before acting on a request. Some records may need to be retained for legal or business obligations. An SMS opt-out does not prevent necessary service communications by other available channels.
Cookies and website security
The parts catalog uses Wix to retrieve product information. When you open that page, your browser communicates with Wix and stores an anonymous shopping-session identifier locally so the same session can be recognized on a later visit. Wix receives technical request information such as your IP address and browser details. Clearing this site's browser storage resets that session. Online parts checkout is not currently available.
Our hosting providers may use cookies and technical logs for security, abuse prevention and sign-in. The website does not currently include advertising pixels. Changing your browser’s cookie settings may affect sign-in or other functions. External payment and other linked websites have their own privacy practices.
Children’s information
This website is intended for customers arranging equipment and services, and is not directed to children under 13. Please contact us if a child has submitted personal information so we can review and address it.
